Sustained winter cold, and why it is the easier problem

Edmonton winters are long and genuinely cold, without the chinook swings that Calgary gets. Counter-intuitively, this makes it one of the more forgiving Canadian destinations for lyophilised material in winter: dry and cold is the condition these compounds are stored in, and steady cold does far less than repeated freeze–thaw cycling does.

The real hazard is at the moment of opening. A vial that comes out of a cold parcel and is opened straight away in a warm laboratory pulls atmospheric moisture directly onto the powder, and water in the cake is what accelerates hydrolysis and deamidation. Ordering from an Edmonton institution

Edmonton’s research base is concentrated around the University of Alberta and the health-science facilities clustered near it, alongside NAIT and a spread of private analytical and contract laboratories through the industrial areas south and east of the city. Most orders we see from this kind of address run into the same handful of procurement questions, so they are worth answering plainly.

Receiving address. A central receiving dock and a laboratory are rarely the same place. Parcels that sit in a mail room over a weekend are the single most common cause of a delivery that “took too long” — the transit was fine, the last hundred metres was not. Where possible, ship to the address that is staffed when the courier arrives.
Who signs. Tracked parcels need someone to take them. A named recipient and a phone number on the order reduce failed first attempts more than any shipping upgrade does.
Purchase orders and documentation. Institutional purchasing usually wants an invoice that matches the order line for line, and a certificate of analysis retained with the record. Both are available before you order — certificates are published openly at certificates of analysis.

Three things actually move the date, and none of them is the shipping method:

Weather events, not weather. Steady cold does not delay freight. A single blizzard closing a highway corridor does, and the delay lands on everything in the network that day.

Alberta-specific commercial notes

5% GST only. On a $500 order that is $25, and nothing else is added — the lowest rate in the country, since Alberta levies no sales tax of its own and is not harmonised. Tax follows the delivery address, so an order shipped to Ontario or the Maritimes carries considerably more. Receiving in an Edmonton winter

The winter guidance above is the important part, and it is worth being concrete about the sequence rather than leaving it as advice.

Bring the sealed parcel inside and leave it closed. Do not open the box in the cold and do not open it immediately in the warm.
Let the vials reach room temperature while still sealed. Thirty to sixty minutes for a small parcel. This is the step that prevents condensation forming on and in the powder.
Then transfer to 2–8 °C without opening, unless you are reconstituting immediately.
Inspect vials and crimp seals, not just the outer box. Cold makes packaging brittle; a box that looks fine can hold a cracked vial.
Check the cake. A lyophilised cake should be intact and uniform. Collapse or discolouration is worth recording on arrival, because it cannot be assessed later.

Summer, which is the less obvious risk

Edmonton summers are short but genuinely warm, and a parcel left on a south-facing step or in a vehicle reaches temperatures well above anything the winter presents. Lyophilised material tolerates a warm transit far better than a reconstituted solution would, but heat plus time is still the condition under which degradation accumulates, and a parcel sitting through an afternoon is the realistic worst case in this climate rather than anything that happens in January.
